Unit Attachments
Attach receipts, warranties, and repair documents to an individual unit.
Paperwork about a unit — the purchase receipt, the warranty certificate, a repair report, an inspection sheet — can be attached directly to that unit, so it travels with the equipment instead of living in someone’s inbox.
Attachments belong to a single unit, not to the item as a whole. Two units of the same model each keep their own receipt, their own warranty, and their own repair history.
Attaching a document
- Open the unit — click it in its folder’s unit table, or scan its label’s QR code.
- Stay on the Details tab and scroll to Attachments.
- Click Upload and pick one or more files.
Uploads start as soon as you choose the files; there’s no separate save step. The count beside the Attachments heading updates as each batch lands.
What you can attach
- Formats — PDF, JPG, PNG, or WEBP.
- Size — up to 10MB per file.
- How many — no limit, and you can select several at once.
The image limit is deliberately the same as the document limit. The most common attachment is a phone photo of a paper receipt, and those routinely run past the 5MB cap that applies to item images elsewhere in Invy.
If some files in a batch are rejected, the rest still upload. Invy tells you which ones didn’t make it and why, rather than failing the whole batch.
Document labels
Each attachment shows a small label — Receipt, Warranty, Repair, Inspection — picked automatically from the filename. A file called receipt-2026-03.pdf is tagged Receipt; warranty-card.jpg is tagged Warranty.
Invy looks for these words in the name:
| Label | Matched on |
|---|---|
| Receipt | receipt, invoice |
| Warranty | warrant |
| Repair | repair, service |
| Inspection | inspect, audit |
Anything else falls back to PDF, Image, or File based on the format. Naming files descriptively before uploading is the whole trick — there’s no way to set the label by hand afterwards.
Opening an attachment
Click the filename. The document opens in a new tab.
Attachments are private to your organization. The links are generated on demand and expire shortly after, so copying one out of the address bar to share with someone won’t give them lasting access — send them the unit instead.
Deleting an attachment
- Hover the attachment in the list.
- Click the ✕ on its right.
- Confirm in the dialog.
This is permanent. Unlike folders and units, a deleted attachment does not go to Trash and cannot be restored. Re-upload the file if you delete one by mistake.
What isn’t an attachment
A unit’s QR code is generated and managed by Invy, and never appears in the attachments list. You can’t delete it here — that’s deliberate, since removing it would leave the unit’s printed label pointing at nothing. See Printing Asset Labels for how codes and labels work.
Next steps
- Report damage on a unit and attach the repair paperwork to it afterwards.
- Print a label so anyone can scan straight to the unit and its documents.
- Back up your organization — attachments are included in the assets archive.
